Privacy Policy

HailCo Roofing LLC (“HailCo,” “we,” or “us”) is an Arizona limited liability company doing business as HailCo Roofing. Our principal office is 7655 E Redfield Rd Ste 130, Scottsdale, AZ 85260-6478. We are licensed by the Arizona Registrar of Contractors under license ROC #346211.

This policy explains how HailCo collects, uses, stores, and shares information from people who visit https://hailcoroofing.com or submit information through our website forms. It applies to our website only and not to phone calls, in-person estimates, or other ways we may interact with you.

We collect two kinds of information:

Information you provide. When you submit our free-quote or contact form, we collect your name, phone number, email address, property address, the service you're inquiring about, and any notes you choose to share. When you call us, we may take notes during the call.

Information collected automatically. Like most websites, we collect basic usage data through Google Analytics: pages visited, referring website, approximate location based on IP address, device type, and browser. This data is aggregated and does not personally identify you. You can turn Google Analytics off with “Reject non-essential” in our cookie banner (see section 8).

Campaign information attached to your enquiry. When you submit a form, we also record the page you submitted it from, the website that referred you, your browser type, your IP address, and any campaign tags carried in the web address you arrived on (for example “utm_source” tags, or a Google or Facebook ad click identifier). This tells us which advert or mailer led you to contact us, so we know what is worth continuing, and it helps us spot duplicate or fraudulent submissions.

Advertising measurement. We advertise on Google. Google Ads conversion tracking sets cookies that tell us when someone who clicked one of our ads goes on to submit a form or call us. When you submit a form, we also share your email address and phone number with Google in hashed (scrambled, one-way encoded) form, so Google can match the enquiry to the ad that led to it (“Enhanced Conversions”). Google uses this to report results to us and does not receive your details in readable form. We do not use retargeting audiences unless you choose “Accept” in our cookie banner, and we never sell your information.

We use the information you submit to:

• Contact you about your inquiry (call or email you back, schedule an inspection, send a written estimate)
• Coordinate with our crew for the inspection or project
• Send follow-up communication directly related to your project or quote
• Improve our website and customer experience
• Understand which advert, mailer, or search led to your enquiry, so we can judge which of our own marketing is working

That last point is measurement of our own advertising. We do not add you to unrelated promotional lists, and we do not sell your information to anyone, ever.

We share the information you submit only with:

• Our team at HailCo Roofing (project managers, owners, estimating staff) so we can respond to your inquiry
• Resend, our email delivery vendor, which routes form submissions to our office email
• HighLevel Inc. (GoHighLevel), the customer relationship management system where we record and track enquiries so nothing gets missed and we can follow up properly. It receives the same details you submit, plus the campaign information described in section 3.
• Google Analytics, which processes anonymized website usage data on our behalf
• Google Ads, which receives ad-click and conversion data, and a hashed copy of your email address and phone number when you submit a form, so it can measure which of our ads produced your enquiry (see section 3)
• Insurance carriers and their adjusters, only when you're an active customer and we're handling an insurance claim on your roof, and only with your knowledge

We do not sell, rent, or trade your information to data brokers, marketing lists, or any third party for their own use.

Lead-form submissions are retained in our office email and in our CRM for as long as the inquiry remains relevant, typically up to 24 months. Active customer records (signed contracts, project files, warranty documentation) are retained for the duration of your warranty period plus 7 years, in line with Arizona contractor record-keeping practice. You can request deletion of your records at any time by contacting us, except where retention is required by law (for example, for warranty claims or contractor licensing audits).

You have the right to:

• Request a copy of the information we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to the retention rules above)
• Opt out of future contact from us
• Ask questions about how we handle your data

Our website uses cookies set by Google Analytics, for aggregated usage measurement, and by Google Ads, to measure which of our ads lead to enquiries. These are on by default for visitors in the United States and are not required for the site to work. Choosing “Reject non-essential” in our cookie banner turns them off: the Google Analytics script is never loaded at all, and Google Ads measurement runs without cookies. Choosing “Accept” also allows Google to use your visit for ad personalization (remarketing). Visitors in the European Economic Area, the UK and Switzerland start with all of these off until they choose “Accept”.

Unless you reject, we also store your campaign tags in your browser's session storage, so that if you arrive from an advert and then browse a few pages before contacting us, we still know which advert brought you. This is cleared when you close your browser, and immediately if you reject. If you reject, we store nothing on your device: we can still see campaign tags that are present in the web address at the moment you submit a form, because those arrive with the page request itself, but they will not follow you from page to page.

You can change your choice at any time using the “Cookie preferences” link in our footer. You can also disable cookies in your browser settings, install the Google Analytics opt-out browser add-on (https://tools.google.com/dlpage/gaoptout), or manage Google's ad settings at https://adssettings.google.com.

Our website is not directed at children under 13. We do not knowingly collect information from children under 13. If you believe a child has submitted information to us, please contact us and we will delete it promptly.

We use industry-standard administrative, technical, and physical safeguards to protect the information you submit. Lead-form submissions are transmitted over HTTPS. Office systems are password-protected and access is limited to team members who need it. No system is perfectly secure; if a breach affecting your information occurs, we'll notify you as required by Arizona law.

We may update this policy from time to time as our practices evolve or as laws change. When we do, we'll update the “Effective Date” at the top of this page. Material changes will be noted at the top of the page for at least 30 days after the change takes effect. Your continued use of our website after a change means you accept the updated policy.

This Privacy Policy is governed by the laws of the State of Arizona. Any dispute about how we handle your information will be resolved in the state or federal courts located in Maricopa County, Arizona. The general rules for using this website are covered separately in our Terms of Use.
